How to set up a branded apply page and email-to-apply so every applicant reaches your pipeline

This guide covers how to set up a branded apply page for each office, add email-to-apply for each job posting, and confirm that every applicant lands in your pipeline.

What a branded apply page does

If you are working out how to set up a branded apply page, start with what it does. Each office gets its own Apply Here page. It shows your branding, your contact details and a simple resume submission flow. Every submission becomes an applicant record, matched to the right source and job posting.

Because ATS Mako is a white-label platform, the page carries your logo, colors and branding, not ours. Email-to-apply works alongside it. Each job posting can generate its own inbound email alias, so a candidate can email a resume and still be captured. You can read more about applicant capture and Apply Here pages and how inbound email capture works.

Symptom: applicants are missing or in the wrong place

Most setup issues show up the same way. A candidate says they applied, but you cannot find them under the job or office you expected. The usual causes are below.

  • The link you shared belongs to a different office's Apply Here page, so applicants land under that office.
  • The candidate emailed a general inbox instead of the job posting's inbound email alias.
  • The email did not clearly match an open job. It is still captured, but surfaced for a recruiter to assign rather than filed under a posting.
  • The applicant was flagged as a reapplicant because of your duplicate timeframe settings.
  • You are checking a different job posting or per-job inbox than the one the application was routed to.

How to set it up

  1. 1 Confirm each office's Apply Here page Open the Apply Here page for each office. Check that it shows your branding and the correct contact details for that location.
  2. 2 Copy the right link for each office Keep a simple list of which Apply Here link belongs to which office. Most misrouted applicants come from a link pasted into the wrong office's materials.
  3. 3 Get the inbound email alias for each job posting Each job posting can generate its own inbound email alias. Note the alias next to the posting it belongs to.
  4. 4 Set your duplicate timeframe Decide how long a reapplicant should be flagged before being treated as new. Set the duplicate timeframe to match how you hire.
  5. 5 Share the link and alias Add the Apply Here link and, where it fits, the posting's email alias to your job posts and recruiting materials. See the table below for common placements.

How the email-to-apply alias works

When a candidate emails a posting's alias, the email is parsed on arrival. The resume is pulled from the attachment and a new applicant record is created, the same way a form submission would be. The application goes to that job posting and its own per-job inbox. Job-board notification emails are parsed into structured applications too.

Checking that applicants land in the pipeline

  1. Submit a test application through each office's Apply Here page. Use a test email address you have not used before, so duplicate controls do not flag it.
  2. Send a test email with a resume attached to one posting's inbound email alias.
  3. Open the job posting and its per-job inbox. Confirm both test applicants appear in the same pipeline.
  4. Open each test record. Check the source, the job posting and that the resume is attached.
  5. Check for any captured applications waiting to be assigned to a job, and assign them.
  6. Remove or archive your test applicants when you are done.

Once applicants are flowing in, see managing applicants after they apply for the next steps.

When to contact support

Contact ATS Mako support if a test application through an Apply Here page does not create an applicant record, if an email to a posting's alias does not appear in that job's inbox, or if resumes are not attached to records created from email. Include the office, the job posting, the link or alias you used and the approximate time of the test so the issue can be traced quickly.

FAQ

Questions, answered.

Can each office have its own Apply Here page?

Yes. Every office can have its own branded Apply Here page, while leadership keeps company-wide visibility.

Can candidates apply by email instead of filling out a form?

Yes. Each job posting can generate its own inbound email alias. A candidate emails a resume and it is captured, parsed and added to the pipeline the same way a form submission would be.

What happens to an email that does not match an open job?

It still becomes a tracked application. When routing cannot confidently match a posting, the candidate is captured and surfaced for a recruiter to assign to the right job.

Will a candidate who applies twice show up as a duplicate?

That depends on your duplicate timeframe. You set how long reapplicants are flagged before being treated as new.

Do apply page and email applicants end up in different places?

No. Applicants from the Apply Here page, email and job boards land in the same requisition pipeline, so a recruiter sees every applicant for a role together.
