Hours, time off, pay, and reviews in four reports, ready to export.
The Employees module adds four HR reports to the Reports section: Hours & Overtime, PTO Liability, Payroll Compliance, and Performance Reviews. They are built from what your team already records in the Employee Portal: approved timesheets, the time-off ledger, and submitted reviews. Pick a period, read the totals and trends, and export the report you are viewing as CSV or PDF. They sit alongside your recruiting reports on the same page.
At a glance
- What it does
- Four HR reports (Hours & Overtime, PTO Liability, Payroll Compliance, Performance Reviews) built from the hours, time off, and reviews your team records in the Employee Portal.
- Where to find it
- Admin (wrench icon) › Reports. One page with a row of tabs; each tab has its own web address, such as /admin/reports/hours-overtime.
- Who can use it
- Users with the Reports permission. PTO Liability, Payroll Compliance, and Performance Reviews are limited to administrators. Hours & Overtime is open to any staff user who can see Reports.
- Data source
- Only approved timesheets, the time-off ledger, and submitted reviews. A week appears in these reports after the employee's leader has approved it.
- Good to know
- CSV and PDF buttons at the top right act on the report you are viewing.
Why HR cares
- See regular hours, overtime hours, and what they cost, week by week, without building a spreadsheet.
- Know how many PTO and sick hours your office owes right now, employee by employee, largest balance first.
- Run a ready check on approved hours and pay per employee before payroll is run.
- Hand over the numbers on request: the CSV or PDF button exports the report on screen.
Why leaders care
- Watch hours, overtime, and total pay trend week by week, using the overtime rule you set in Settings.
- Pay figures are frozen when each week is approved, so later wage changes do not rewrite history.
- See how leaders and employees rate performance, over time and by competency, on a 1 to 5 scale.
- Nothing is counted before a leader signs off: only approved timesheets, the time-off ledger, and submitted reviews feed the reports.
Pick a report, pick a period, export.
Nothing to build. The reports read what your team already records in the Employee Portal.
- 1
Your team records the work
Employees record hours and time off in the Employee Portal, and reviews are submitted by leaders and employees.
- 2
Leaders approve the weeks
A week counts in the reports once the employee's leader has approved it. Pay figures are frozen at that moment.
- 3
Open the report
Go to Admin (wrench icon) › Reports and click Hours & Overtime, PTO Liability, Payroll Compliance, or Performance Reviews.
- 4
Choose a period
Click 30 Days, 60 Days, 90 Days, Last Month, Last Quarter, Last Year, YTD, Lifetime, or Custom. Hours & Overtime opens on 30 Days and Performance Reviews on 90 Days. PTO Liability has no period: it shows today.
- 5
Read the totals
Tiles sit at the top, with a weekly trend or a table by employee or competency below. Tables sort by column.
- 6
Export what you see
Click CSV for a file created in your browser, or PDF to open a printable version and choose “Save as PDF”.
See what the hours cost, week by week.
Five tiles show Regular Hours, Overtime Hours, Regular Pay, Overtime Pay, and Total Pay for the period, each with a small trend line. Below them, a weekly chart plots all five measures.
- Click a legend chip to hide or show a line. Hours and dollars share one axis, so the hours lines can look flat next to the pay lines.
- Overtime follows your Settings › Timesheets & Comp rule: hours above the weekly threshold are overtime, paid at the employee's hourly rate times the multiplier.
- Pay figures were frozen when each week was approved, so later changes to wages do not rewrite history.
- The report opens on 30 Days. CSV downloads the five totals; PDF opens a printable version.
Know the time off you owe today.
PTO Liability shows how many paid-time-off and sick hours your office currently owes its employees: the accrued hours minus the hours already taken. Total Liability Hours and Employees with a Balance sit at the top.
- A table by employee shows PTO Hours, Sick Hours, and Total Hours, sortable, largest balance first.
- It is a snapshot of today with no date filter, and it counts hours, not dollars.
- Only categories that accrue (PTO and Sick Leave) are included. Unpaid Leave and FMLA are not.
- Balances are read from the time-off ledger that your PTO/Sick Leave policies feed. Terminated employees who still have a balance are included.
Check approved hours and pay before payroll is run.
Payroll Compliance totals approved hours and pay for each employee over a period. Three tiles show Total Regular Pay, Total Overtime Pay, and Total Pay, and a By Employee table lists everyone with an approved week in the period.
- By Employee shows Reg Hours, OT Hours, Reg Pay, OT Pay, and Total Pay for each person. Every column sorts, and the largest total is first.
- Only hourly pay is included. Sales commission is added in the payroll export and in Sales Reports.
- The report totals approved hours and pay. It does not flag labor-law violations.
- Export the totals and the By Employee table as a CSV (one row per employee) or a PDF.
See how people are rated, over time and by competency.
Performance Reviews shows how leaders and employees rate performance. Three tiles show Total Reviews, Leader Avg Rating, and Self Avg Rating on a 1 to 5 scale.
- Average rating over time plots the leader line against the self line by week. Weeks with no reviews plot at zero.
- By Competency shows the average leader rating and average self rating for each competency, for example Sales, Interviewing, or Professionalism. A dash means nobody rated it.
- The report opens on 90 Days. Reviews from open and closed cycles are included together.
- Open and close cycles in Settings › Review Cycles.

Built so the totals hold up.
These rules are part of how the HR reports work.
Approved weeks only
A week appears in the reports after the employee's leader has approved it. The reports read approved timesheets, the time-off ledger, and submitted reviews.
Pay frozen at approval
Pay figures were frozen when each week was approved, so later changes to wages do not rewrite history.
Your overtime rule
Hours above the weekly threshold you set in Settings › Timesheets & Comp are overtime, paid at the employee's hourly rate times the multiplier.
Whole weeks, by start date
A week is included by its Monday. A week that began before your first selected day is left out entirely, and a week that begins inside the period is counted whole.
Hours, not dollars, for time off
PTO Liability counts hours and includes only categories that accrue (PTO and Sick Leave). Unpaid Leave and FMLA are not included.
Limited to administrators
PTO Liability, Payroll Compliance, and Performance Reviews are limited to administrators. Hours & Overtime is open to any staff user who can see Reports.

A week counts by its Monday.
The Monday of the week must fall inside the selected period. If a week seems to be missing, check its start date and that the leader has approved it.

HR Reports FAQ
Where do I find the HR reports?
Go to Admin (wrench icon) › Reports. The page is called “ATS Mako Reports” and has a row of tabs. Each tab has its own web address, such as /admin/reports/hours-overtime.
Who can see them?
Users with the Reports permission. PTO Liability, Payroll Compliance, and Performance Reviews are limited to administrators. Hours & Overtime is open to any staff user who can see Reports.
Does Payroll Compliance flag labor-law violations?
No. It totals approved hours and pay for each employee over a period, as a ready check before payroll is run. It does not apply compliance rules or flag violations, so treat it as a check on your numbers, not a legal review. Only hourly pay is included: sales commission is added in the payroll export and in Sales Reports.
Why is a week missing from a report?
Only approved timesheets count, and a week appears after the employee's leader has approved it. Weeks are also included by their start date: the Monday must fall inside the selected period. A week that began before your first selected day is left out entirely, and a week that begins inside the period is counted whole.
Does PTO Liability show dollars?
No. It counts hours, not dollars. It is a snapshot of today with no date filter, and it includes only categories that accrue (PTO and Sick Leave). Unpaid Leave and FMLA are not included. Terminated employees who still have a balance are listed.
How are overtime and pay calculated?
Overtime follows your Settings › Timesheets & Comp rule: hours above the weekly threshold are overtime, paid at the employee's hourly rate times the multiplier. Pay figures were frozen when each week was approved, so later changes to wages do not rewrite history.
What do the CSV and PDF exports contain?
The export matches the report you are viewing. Hours & Overtime exports the five period totals. PTO Liability, Payroll Compliance, and Performance Reviews export their employee or competency tables. The CSV is created in your browser. The PDF opens your browser's print dialog: choose “Save as PDF” (make sure pop-ups are allowed).
