Org Chart

See how your team is structured: each leader with the people who report to them, all the way down. Built automatically from the Assigned Leader on every employee record, so it is always current.

What it is

A live picture of who reports to whom, built from Assigned Leader.

The Org Chart shows how your team is structured: each leader with the people who report to them, and those people's own reports, all the way down. It builds itself from the Assigned Leader set on every employee record, so it is as current as your employee data. Each person is a box with a name and a role, and the chart never shows pay data. It lives in the Reports section, next to your other reports.

At a glance

What it does
Shows how your team is structured: each leader with the people who report to them, and those people's own reports, all the way down.
Where to find it
Admin (wrench icon) › Reports › Org Chart tab (/admin/reports/org-chart).
Who can use it
Users with the Reports permission. The chart shows names and roles only, never pay data.
What it needs
An Assigned Leader on each employee record (employee form, “Internal” section). Active employees only are charted.
Good to know
There is no date selector: the chart shows today's assignments. Reload the tab after you change a leader.

Why HR cares

  • See the whole reporting structure on one page, with no separate chart to draw or keep up to date.
  • Everyone stays on the chart: a person with no assigned leader, or whose leader is no longer an active employee, appears at the top level, which makes gaps easy to spot.
  • Open any person's record in one click from their box.
  • Fix the structure where it lives: change the Assigned Leader on the employee form, reload, and the chart follows.

Why leaders care

  • See your team and everyone below them, branch by branch, and keep closed the branches you do not need.
  • The same Assigned Leader link decides who approves each employee's timesheets and time off, and how sales are grouped by leader, so a correct chart means a correct setup for all three.
  • The chart shows names and roles only, never pay data.
  • There is no date to set and nothing to configure: it shows today's assignments.
How it works

Set the leader. The chart follows.

The chart reads the Assigned Leader you already keep on each employee record.

  1. 1

    Set Assigned Leader

On the employee form, in the Internal section, choose the Assigned Leader. The list offers active employees whose Is Leader? switch is on.

  2. 2

    Open the Org Chart tab

Go to Admin (wrench icon) › Reports and click Org Chart.

  3. 3

    Read it top-down

Each person is a box with their name in bold and their Role underneath. Lines connect each leader to the people who report to them.

  4. 4

    Open branch by branch

The chart opens collapsed, showing the top of each reporting line. Click the small chevron under a box to open that person's branch, and click again to close it. A wide chart scrolls sideways.

  5. 5

    Open a record

Click a person's box (not the chevron). The All Employees list opens with that employee's panel already open.

  6. 6

    Update and reload

Change an Assigned Leader, save, then reload the Org Chart tab. It does not refresh by itself while open.

Built from your records

There is nothing to draw.

Each employee record has an Assigned Leader in the Internal section of the employee form, and the chart follows it. Keep that field right and the chart is right.

  • The Assigned Leader list offers active employees whose Is Leader? switch is on.
  • The same link decides who approves each employee's timesheets and time off, and how sales are grouped by leader in Sales Reports.
  • Only active employees are charted. Applicants, employees still in onboarding, and terminated employees are left out.
  • After you change a leader, reload the Org Chart tab.
HR › Employees › Active Employees, with a Leader column for each person. The Assigned Leader on each record is what places someone on the Org Chart.
Expand, collapse, open

Focus on one branch, then open a person.

The chart opens collapsed, with only the top of each reporting line showing. Click the small chevron under a box to open that person's branch, and click again to close it. Click the box itself to open the person's record.

  • The All Employees list opens with that employee's panel already open, with their details, notes, and compensation.
  • Use the browser's Back button to close the panel. The address can also be shared.
  • A wide chart scrolls sideways inside the page.
  • The Leadership Team box is a label, not a person, and is not clickable.
The employee panel that opens when you click a person's box: status, the Is Leader? switch, action buttons, and the Employee Information tab.
Nobody gets lost

Gaps in the data stay visible.

The Org Chart keeps everyone on the page. A missing or inactive leader shows up as someone at the top level, so you can see the gap and fix it on the employee record.

  • A person is at the top level when they have no assigned leader, or when their leader is not an active employee of this office.
  • Anyone caught in a loop (A leads B and B leads A) is shown as an extra top-level entry instead of being lost.
  • The chart goes up to 20 levels deep.
  • When the office has more than one top-level person, a Leadership Team box holds them all.

Capabilities

Everything in Org Chart.

Built from Assigned Leader

Every active employee is placed by the Assigned Leader on their record (employee form, “Internal” section). There is nothing to draw.

Names and roles only

Each box shows a name in bold and the person's Role underneath (from Settings › Roles). It never shows pay data.

Open and close branches

The chart opens with just the top of each reporting line showing. Click the small chevron under a box to open that person's branch, level by level, and click again to close it.

Open a person's record

Click a person's box and the All Employees list opens with that employee's panel already open. Use the browser's Back button to close it.

A Leadership Team box

When the office has more than one top-level person, a Leadership Team box sits at the top to hold them all. It is a label, not a real person.

Nobody gets lost

A person with no assigned leader, or whose leader is not an active employee, shows at the top level. Anyone caught in a loop is shown as an extra top-level entry.

Built in

Rules that keep the chart complete and plain.

These rules are part of how the Org Chart works.

Names and roles only

Each box shows a name and a Role. The chart never shows pay data.

Active employees only

Applicants, employees still in onboarding, and terminated employees are left out of the chart.

Nobody disappears

A missing or inactive leader puts a person at the top level instead of dropping them, and loops show as an extra top-level entry.

Today's assignments

There is no date selector. The chart shows the Assigned Leader of each active employee as it is today.

FAQ

Org Chart FAQ

How is the Org Chart built?

Automatically, from the Assigned Leader on each employee's record (employee form, “Internal” section). The Assigned Leader list offers active employees whose Is Leader? switch is on. The chart reads top-down with connecting lines, and siblings are in alphabetical order.

How do I change the structure?

Open the employee (HR › Employees) and press Edit. In the Internal section choose the Assigned Leader, then save. Reload the Org Chart tab to see the change: it does not refresh by itself while open.

Who appears on the chart?

Active employees of the office. Applicants, employees still in onboarding, and terminated employees are left out. If there are none, the tab reads “No active employees to chart yet.”

Does it show salary or other pay data?

No. The chart shows names and roles only, never pay data.

Can I zoom, search, or export the chart?

The chart has no zoom, search, photos, team-size counts, or export. You open and close branches, and a wide chart scrolls sideways inside the page.

What happens if a leader is terminated, or two people lead each other?

Nobody disappears. A person is at the top level when they have no assigned leader, or when their leader is not an active employee of this office, for example a leader who has since been terminated. Anyone caught in a loop (A leads B and B leads A) is shown as an extra top-level entry instead of being lost. The chart goes up to 20 levels deep.

Who can use it?
