Each step can be tracked as complete or outstanding, so a manager or HR team can see, for any new hire, exactly what's left before they're actually ready to start — rather than discovering a missing document on day one itself.

Where onboarding delays surface

A new hire accepts an offer on a Friday with a start date the following Monday. Over the weekend, they complete their tax withholding form and upload eligibility documents online in about 15 minutes total. When they arrive Monday, there's nothing left to process — no printed forms, no waiting on paperwork — and they start their first shift on time. The same new hire under a paper-based process, by contrast, would typically need to arrive early or lose part of their first shift completing the same steps by hand.

In staffing & high-volume hiring

A fast time to fill can still fall apart at this stage if onboarding paperwork is slow or manual — a candidate who accepted an offer quickly can still miss a start date, or a first shift, waiting on paper forms to be printed, signed, and processed. For high-volume and seasonal hiring especially, onboarding that isn't digital and self-serve becomes the actual bottleneck once sourcing and interviewing speed up.

Common mistakes

  • Treating onboarding as separate from the hiring funnel metrics, when a slow onboarding process can undo all the time saved by a fast time to fill and time to hire.
